Access & Times
The Map Room is available from 9.00am until 5:00pm Monday to Sunday and can be hired as follows:
- £25 per hour
- Half day (up to 4 hours): £90
- Full day (up to 8 hours): £160
The Heritage Centre is available for evening hire between 5:00pm and 10:00pm and is charged as follows:
- £75 per hour (minimum 2 hours), or
- £250 flat rate for hire between 5:00pm and 10:00pm
For any decoration requirements, an additional hour will be added to the booking for set-up and clear-down. Evening hire includes access from the agreed booking start time. Any additional time required for decoration or set-up outside of this period will be charged accordingly.
Customers arriving before their booked start time cannot be guaranteed immediate access. Overrunning bookings will be charged at the published hourly rates.
All bookings are subject to availability and operational capacity.

Cancellation
Any booking cancelled within 48 (working) hours or less of the hire date will be charged in full for the total booking value, including room hire, equipment and any catering.
For cancellations made between 2 and 5 working days prior to the booking:
- 50% of the room hire and 100% of the catering cost will be charged, as catering requirements will have been confirmed and committed at this stage.
Cancellations made more than 5 working days in advance will not incur a charge.
The Land of Oak & Iron reserves the right to cancel bookings if the hirer fails to adhere to these conditions or in circumstances beyond our reasonable control.

Catering
All catering must be provided by our onsite Café. External catering is not permitted.
Catering is available for pre-booked room hire only and must be arranged in advance. We recommend a minimum of 7 days’ notice to ensure availability.
Buffet catering is available for bookings of 6 or more guests.
For bookings of fewer than 6 guests, food can be ordered from the café menu, with a 10% discount applied for room hire bookings.
Final catering requirements, including menu choices and delegate numbers, must be confirmed no later than 5 working days prior to the event. This number will be the minimum amount charged.
Following confirmation, catering requirements are considered committed and charges will apply in line with the cancellation policy.
Catering cannot be guaranteed where sufficient notice has not been provided.
The Derwent Valley has a no glass policy outdoors. All drinks must be decanted before being taken outside.

Outdoor Space
Use of the outdoor courtyard area is included as part of full Heritage Centre hire.
Hirers are responsible for the supervision and conduct of their guests within outdoor areas and must adhere to all site rules, including the no glass policy.

Damages
All breakages, spillages or damage must be reported to the on-site manager prior to leaving. The space must be left as it was found. Failure to do so may incur charges.

Delegates
Final delegate numbers must be confirmed no later than 5 working days prior to the booking.
These confirmed numbers will be the minimum amount charged.
Increases in delegate numbers cannot be guaranteed without sufficient notice. Every effort will be made to accommodate changes where possible.

Layouts
Requests for different room layouts must be made at the time of booking. Rearrangement of furniture cannot be guaranteed on the day of hire without prior notice.

No Show
In the event that a customer does not arrive within the first hour of the booking and no prior notice has been given, the Land of Oak & Iron reserves the right to cancel the booking and re-sell the space.

Parking
Parking is available on a first come, first served basis. The Land of Oak & Iron Heritage Centre accepts no responsibility for damage to or loss of vehicles or their contents.

Payment
All charges will be invoiced. Payment is required by bank transfer within 14 days of invoice.
The Land of Oak & Iron reserves the right to request full or partial payment in advance for certain bookings.
Cash payments are not accepted.

Provisional Bookings
Provisional bookings will be held for 7 working days. If confirmation is not received within this time, the booking may be released without further notice.

Safety
All customers must observe all safety and fire procedures. The hirer is responsible for the safety, security and conduct of their guests while on the premises.

Security
The Land of Oak & Iron accepts no liability for unattended personal belongings or equipment.

Smoking
No smoking is permitted within The Land of Oak & Iron Heritage Centre or surrounding areas.

VAT
All prices quoted are subject to VAT at the standard rate.

General
“Working days” refer to Monday to Friday, excluding bank holidays.
These Terms & Conditions are subject to review and may be updated from time to time.
